Secretary

Position Summary:

The School Secretary serves as the first point of contact for students, parents, staff, and visitors. This role provides essential administrative support to ensure the smooth and efficient operation of the school office. The ideal candidate is organized, professional, and able to multitask in a dynamic environment.

Key Responsibilities:

  • Front Office Management:
    Greet and assist students, parents, and visitors in a friendly and professional manner.

  • Communication:
    Handle phone calls, emails, and messages; distribute information to staff, students, and parents as needed.

  • Record Keeping:
    Maintain accurate student records, attendance logs, and staff files; assist with data entry into school systems.

  • Administrative Support:
    Support the principal and teaching staff with scheduling, photocopying, filing, and correspondence.

  • Calendar and Event Coordination:
    Manage the school calendar, schedule appointments, and help organize school events, meetings, and assemblies.

  • Document Management:
    Prepare letters, reports, and notices; ensure confidentiality of sensitive information.

  • Supply Management:
    Order and maintain office and classroom supplies; process purchase orders and invoices.

  • Student Services:
    Assist with late arrivals, early dismissals, and minor first aid (if certified); maintain emergency contact records.

Qualifications:

  • High school diploma or equivalent; additional qualifications in office administration are an asset

  • Previous experience in a school or office setting preferred

  • Excellent organizational, communication, and interpersonal skills

  • Proficient in Microsoft Office Suite and basic database systems
